Board Assistant (f/m/d)

BE PART OF THE TEAM
The Board Assistant ensures the effective and efficient functioning of the Board of MSF-Germany by providing secretarial and content support to all Board members and especially the President in their work and roles in different Board positions as well as for Board working groups.
YOU WILL
As a team member, you will support our projects on site - without actually being there. You will be responsible for the following tasks:
- Provide comprehensive administrative and content-related support to the President, all Board members, and Board working groups by coordinating daily operational tasks, managing correspondence, organizing agendas, meetings, and travel arrangements, and facilitating workflows to ensure the effective execution of governance roles and priorities
- Coordinate and maintain efficient information flow between the Board, the General Director, and national and international MSF stakeholders, to safeguard institutional memory and documentation
- Ensure effective preparation, organization, and follow-up of Board meetings, retreats, conferences, and related events, including accurate recording of decisions and actions
- Facilitate MSF Germany’s representation and participation in international MSF events and conferences, fostering collaboration across the movement
- Support the organization and execution of the General Assembly and other key associative events in cooperation with the Association Coordination Officer
- Collaborate closely with the Association Coordination Officer and the General Director’s office, ensuring smooth coordination of cross-functional and associative activities
- Act as a key point of contact for Board members and external stakeholders, managing communication, inquiries, and relationships to strengthen governance processes
- Administrative support for the annual audit
YOU HAVE
The following professional qualifications and personal qualities are important to us:
- 2 years of professional experience in office organisation and administration or a similar function
- Vocational training in the administrative sector or comparable degree, or equivalent professional experience
- Experience in the preparation of meetings including minute writing
- Excellent communications skills in both English and German (C1 level)
- Confident use of MS Office or comparable IT application skills
- Basic knowledge of international humanitarian work and current affairs
- Flexibility with regards to working hours and willingness to work on weekends every 6-8 weeks (Board meetings) as well as evenings
