Department Assistant Strategy & Organisational Development (f/m/d)

Médecins Sans Frontières (MSF) is a private, non-governmental, humanitarian organisation that provides medical aid in over 70 countries worldwide. The headquarter of the German section is in Berlin. BE PART OF THE TEAM

The position provides comprehensive administrative and coordination support to the department and its management team, ensuring smooth operations, effective internal communication, and adherence to planning, reporting, and procurement processes. By maintaining organisational flow and supporting both departmental and cross-functional initiatives, the role contributes to the overall efficiency and responsiveness of the department.

YOU WILL

As a team member, you will support our projects on site - without actually being there. You will be responsible for the following tasks:

  • Organise and coordinate departmental and cross-departmental meetings, trainings and events in line with internal planning processes, to ensure effective collaboration and timely follow-up.
  • Support planning and reporting cycles by managing key deadlines, deliverables, and consistent data entries, to enable reliable departmental oversight and decision-making.
  • Manage and update internal departmental documentation, presentations, and communication tools including SharePoint, to ensure accessible and current information flows.
  • Facilitate the onboarding and integration of new departmental staff in accordance with internal guidelines, to support their orientation and operational readiness.
  • Oversee procurement-related processes within the department following MSF procedures, to ensure compliant purchasing and accurate documentation.
  • Handle core administrative functions such as correspondence, supporting to procurement, scheduling, and travel coordination in line with organisational standards, to maintain smooth day-to-day departmental operations.
  • Contribute to the achievement of departmental goals by supporting projects, change initiatives, continuous improvement and quality management measures, in order to strengthen organizational culture, structure, and operational effectiveness.
  • Support MSF Germany's strategic development projects.

YOU HAVE

The following professional qualifications and personal qualities are important to us:

  • 2 years of relevant professional experience in administrative support functions (e. g. meeting and calendar coordination, preparation of documents and presentations, professional correspondence, maintaining internal documentation, supporting internal coordination processes)
  • Ability to support the department, manage schedules, and coordinate communications effectively
  • Proficient in MS 365 or comparable IT application skills
  • Knowledge of coordinating administrative tasks in collaboration with others, including information tracking and timely follow-up
  • Knowledge of administrative workflows, including meeting and calendar coordination, document preparation, professional correspondence and other office procedures
  • Confident communication in English in most work situations and participate in discussions (B2 level)
  • Highly desirable: Confident communication in German in most work situations (B2)
